Competitive Rescheduling Policy

Competitive and Juniors Team Game Reschedule, Cancellation & No-Show Policies
Effective April 2012

For any MTsc Competitive or Juniors teams requiring a game to (i) be canceled, (ii) be rescheduled or (iii) teams that do not show for their game at the scheduled time, the following shall apply:

Game Cancellation Policy.  Any MTsc Competitive or Juniors team may request to cancel any game at any time. The following shall apply depending on the time of the request with respect to the scheduled game time (the team’s timeliness of their request determines which applies):

(a)     Fee Based Cancellation – If the cancellation request is within 10 days or less of the scheduled date of the match being requested to be canceled, then the canceling team MUST pay MTsc an amount equal to their referee fees for the game as if the game were played plus an administrative and processing fee of $25.00 if it is a Competitive match or $10.00 if it is a Juniors match and such canceled match may allowed to be rescheduled subject to the Reschedule Game Policy below.

(b)     No Fee Based Cancellation - If the cancellation request is greater than 10 days of the scheduled date of the match being requested to be canceled, then there is no fee to be paid and such canceled game can be rescheduled subject to the Reschedule Game Policy below.

NOTE: All canceled games must be rescheduled with MTsc during the same season as originally scheduled (i.e. spring or fall as applicable). If such game is not rescheduled to be played at MTsc, then the home team will be subject to a fee equal to their referee fees for the game as if the game were played.

Reschedule Game Policy.  Any Competitive or Juniors team may request to reschedule any league match provided it is a “Valid” request. A “Valid” request regardless of situation is one where the date for the rescheduled game is greater than ten (10) days from the “Request Date” (meaning the date in which the request is made from when both opponents and MTsc have all mutually agreed on the rescheduled date and time as well as when field and referee availability is confirmed). Other words, if a request is made and then five days were taken to settle on a mutually agreed to date, time, referee and field availability, the (10) days starts from the day of such mutual agreement and its corresponding confirmed reschedule request.

No-Show Policy.  A Team who does NOT show up ready to play at their scheduled time for reasons other than because their game was cancelled or was rescheduled, will be considered a NO SHOW.  Competitive NO SHOW teams will automatically must reimburse MTsc the applicable referee fees for the match plus pay a $25.00 administrative and processing fee.  Juniors NO SHOW teams will automatically forfeit their scheduled game and those games will not be allowed to be rescheduled and they must reimburse MTsc the applicable referee fees for the match plus pay a $10.00 administrative and processing fee.  It is MTsc’s policy to pay all scheduled referees for games even in the event of a No-Show.  SEE “MTsc Payment Policy for Competitive/Juniors Non Payment of Referee Fees for No-Shows and Matches”.

MTsc Determined Weather Related Game Cancellation, Delay and Temporary Stoppage Policy.  The following is MTsc’s practice for weather related game delays, temporary stoppage and cancellations. The following weather related events are causes for this Policy to apply:

1. Severe rain has occurred through the evening before or is occurring during a game day leaving significant standing water on the fields and in MTsc’s judgment, playing on the fields could severely jeopardize the sod cover.
   
2. The fields are generally covered with residual snow and in MTsc’s judgment, playing on the fields could severely jeopardize the sod cover.
   
3. There is visible lightning or approaching lightning is detected or severe wind warnings received.

In most cases, if games are cancelled, they will be done incrementally throughout the day unless notified otherwise. All teams must come to the fields ready to play unless their specific game time has been cancelled. All games canceled by MTsc in this event may be rescheduled per the Reschedule Game Policy above.

Communication of Game Cancellations and Delays by MTsc.  All coaches should plan on playing their scheduled games under all weather conditions unless their game time has been cancelled by MTsc communicated by:

1. PRIMARILY by listing on www.MetroTulsaSoccer.com,
   
2. TWITTER notice (Secondary Notice)
   
3. An email from the MTsc Head Scheduler

If any one (1) of the above note a cancellation then such cancellation shall apply and it should be recognized due to the logistics involved and the volunteer nature of such administration, there should be expected cases where not all of the above will be consistent.

MTsc Field Bumping Policy.  MTsc reserves the right to “BUMP” teams from their game times and fields due to field conditions resulting from poor weather conditions in order to accommodate the following priorities:

Open league games shall take priority over closed league games in order to accommodate out of town teams.

Fee Payment Policy.  All amounts owed must be paid pursuant to the “MTsc Payment Policy for Competitive/Juniors Non Payment of Referees Fees for No-Shows and Matches”.

Team Bad Standing Policy.  Non-payment of the applicable fees per the above will result in the team being held in Bad Standing at MTsc and MTsc reserves the right to take appropriate action against the team and/or affiliated program. Until amounts owed MTsc are paid, such action includes MTsc not assigning referees to the team’s future home matches, as a courtesy to visiting teams MTsc may incrementally cancel such future home matches, forfeiture of allowed scrimmages at the MTsc SoccerPlex and/or disallowance to play in formal friendlies days or hold pre-tryout clinic sessions at the MTsc SoccerPlex.

Home Team Responsibilities

• All game reschedule requests and cancellation notices are subject to MTsc, rules as applicable and such requests or notices are the responsibility of the “Home” Competitive or Juniors team and must be made in writing to the MTsc Head Scheduler and can copy the MTsc Office Manager for documentation purposes.  SEE “MTsc Competitive and Juniors Team Game Cancellation and Reschedule Request Form” below. 

• The date of receipt of the email will determine if the time frame fees above apply. All requests are to be done by email in all cases.

• The responsibility for payment of all fees is the responsibility of the MTsc “Home” team regardless of the situation involving or not involving the “Visiting” team.
